5 ways contractors get paid faster

The work is done, the client is happy — and you’re still waiting on the check three weeks later. Slow payment is one of the most common reasons good contractors run out of cash. Here are five things that consistently shorten the gap.

1. Invoice the day the milestone hits

Every day you wait to send an invoice is a day added to when you get paid. Bill progress milestones the moment they’re reached — not at the end of the month. Tying invoices to milestones (deposit, rough-in, finishes) keeps money flowing throughout the job instead of all at the end.

2. Let clients pay online

A “mail a check” invoice is a slow invoice. When a homeowner can tap “Pay now” from their phone the moment they get the invoice, you get paid in days, not weeks. Card-on-file for progress billing is even faster.

3. Take a deposit up front

A 20–30% deposit before you mobilize covers your first material run and filters out clients who were never going to pay. It’s standard, and clients expect it.

4. Make change orders their own paper trail

Unsigned change orders are unpaid change orders. Capture the scope and price, get a signature on the spot, and bill it — don’t bury extras in the final invoice where they get disputed.

5. Show your work

Clients pay faster when they can see progress. Daily photos and a simple client portal turn “what am I paying for?” into “wow, look at that.” Transparency removes the friction that delays payment.

None of these require a bigger crew or a better market — just tighter habits. ExpenseDesk Pro builds all five in: milestone invoicing, online payments, deposits, e-signed change orders, and a client portal with progress photos.
